Christiana Care is looking to hire an Administrative Assistant II for a multi-specialty office in Wilmington, DE.

PRIMARY FUNCTION:

To provide administrative support for a defined service within the Medical Group of Christiana Care Management Team.  Assumes expanded job responsibilities as directed.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Completes projects and assists with duties and tasks to facilitate office operations
  • Coordinate/Assist with the onboarding process
  • Assist internal and external customers with timeliness and helpfulness
  • Attends staff meetings and mandatory in-services
  • Makes travel arrangements, prepares conference registrations
  • Invoice and reimbursement management
  • Event coordination
  • Attend meetings, type and distribute meeting minutes, memos and presentations
  • Schedule and manage calendars; coordinate conferences and meetings. Ensures that meeting rooms, supplies and equipment are arranged for in advance. Orders catering as needed.
  • Assist with special projects, meetings, and departmental initiatives
  • Order and maintain office supplies
  • Provides coverage to other assistants as necessary
  • Completes payroll as necessary
  • Operates department computer system and other equipment in an accurate and safe manner
  • Respects patient privacy and employee confidentiality
  • Secure and maintain strict confidential and sensitive information
  • Demonstrates a sound knowledge base of appropriate departmental and hospital guidelines/policies
  • Coordinates communication between all levels of the health care team effectively, utilizing both written and verbal communication skills
  • Maintains a positive attitude of helpfulness, courtesy, and cooperation toward employees, physicians, other hospital personnel, other health care providers, and the general public
  • Protects the confidential basis of employee or patient information at all times
  • Performs assigned work safely, adhering to established departmental safety rules and practices.  Reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors
  • Performs other related duties as required.

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • High school diploma or equivalent.
  • Four years progressively responsible administrative support to an administrator or manager.
  • An equivalent combination of education and experience may be substituted, but must include at least two years of appropriate experience.

KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS:

  • Knowledge of appropriate departmental and hospital standards, policies, and procedures.
  • Knowledge of clerical functions specific to the department.
  • Knowledge of Microsoft Office applications.
  • Ability to prioritize workload independently, working within established procedures or protocols.
  • Ability to make decisions exercising independent judgement in all job related activities.
  • Ability to work constructively with all members of the health care team.
  • Ability to prioritize crisis calls, notifying appropriate manager immediately.
  • Ability to maintain patient and employee confidentiality.
  • Ability to locate, use, and maintain appropriate reference manuals.
  • Ability to operate departmental computer system and other equipment in an accurate and safe manner.
  • Ability to perform all appropriate psychomotor skills.
  • Ability to function with an awareness and application of safety policies.
  • Ability to communicate effectively utilizing verbal and written skills.
  • Ability to type accurately at 60 wpm.
  • Skill in oral and written communications.
