Provides administrative support to the Medical Director, Corporate Director, and other staff within the Department of CareVio as appropriate. Duties entail, but are not limited to, administrative tasks which include planning/coordination of events, meetings or conferences, screening inquiries or complaints, projects, budgeting, and space planning.   


Performs a variety of clerical and administrative functions such as answering phones, scheduling meetings, preparing correspondence, spreadsheets, reports and other documents, ordering supplies and photocopying documents Performs budget preparation, scheduling, reporting and tracking information Maintains calendar of appointments, meetings and travel itineraries and coordinates related arrangements May prepare and distribute minutes of meetings Coordinate office activities, communicating messages as needed. Coordinates communication between all levels of the health care team effectively Operates department computer system and other equipment in an accurate and safe manner. Always protects confidential employee or patient information. Attends staff meetings and mandatory in-services. Performs assigned work safely, adhering to established departmental policies, safety rules, and practices.  Reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors. Performs other related duties as required.


Frequent contact with employees from other departments.  Occasional contact with visitors, patients, the general public, and outside agencies, etc.


High school diploma or equivalent required.

Four years progressively responsible secretarial or administrative experience.

An equivalent combination of education and experience may be substituted but must include at least two years of appropriate experience.


  • Knowledge of appropriate departmental and CCHS standards, policies, and procedures.
  • Knowledge of clerical functions specific to the department.
  • Ability to prioritize workload independently, working within established procedures or protocols.
  • Ability to make decisions exercising independent judgement in all job-related activities.
  • Ability to work constructively with all members of the department.
  • Ability to triage calls, notifying manager immediately for urgent needs.
  • Ability to maintain patient and employee confidentiality.
  • Ability to locate, use, and maintain appropriate reference manuals.
  • Ability to operate departmental computer system and other equipment in an accurate and safe manner, proficiency in using Microsoft Word, Excel, Outlook and Power Point
  • Ability to perform all appropriate psychomotor skills.
  • Ability to function with an awareness and application of safety policies.
  • Strong verbal and written communication skills.
  • Proficient typing skills.


Ability to stand, walk, sit, bend, lift, push, pull, carry, reach, twist, handle, stoop, climb as per specific Physical Demands Checklist.


Generally pleasant medical office environment.  Frequently exposed to printer noises.
