Our Textile Department located in Newark Delaware, DE is looking for a full time Administrative Assistant II to provide administrative support to management and staff. Provides communication for entire department. Originates departmental financial reports and billing. Serves as department receptionist/resource locator, personnel/administrative support.

The ideal candidate will be well organized, detail oriented and have the ability to multitask. Candidate to complete tasks and duties within a prescribed timeline.

The responsibilities of the Administrative Assistant II will include;

Performs all clerical aspects of communications; reports, forms, personnel records, department files, vendor communications, and prioritizes requests from supervisors.

Assist as the communications coordinator and makes judgements pertaining to course of action to be taken with communications between and within department, internally and externally. Communicates with customers and Nursing Staff.

Compiles data to produce Department Monthly Reports and produces department's monthly financial and productivity statements.

Responsible for all functions of Kronos (payroll system).

Prepares and processes all forms regarding new, present, and terminated employees.

Maintains the calendar for the Department Director, arranges meetings for Directors.

Bills customers quarterly; copies to accounting.

Works in the plant helping with Production when requested.

Keeps managers, and supervisors informed of pertinent information by copying and distributing payroll reports, evaluation dates, birthdays, anniversaries, schedule vacations of all employees.

Reviews appropriate information with newly hired employees on date of first interview and acknowledgement of hiring by management.

Plans and tracks all required department in service education for staff

Keeps all employee records current, alerts management personnel of employee's records and the crucial timing for action through recorded absenteeism, tardiness, poor work performance, incidents, and behavioral problems within their respective sections.

Prepares, processes, and types all coaching session and disciplinary action forms for management personnel to present to employees.

Orders all required supplies for department through PMM system and Purchasing; tracks all quotes.

Performs assigned work safely, adhering to established departmental safety rules and practices. Reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.

Performs other related duties as directed.

Office Hours: Day Shift

Qualifications:

High school graduation or equivalency.

Four years proven clerical or secretarial experience.

Computer knowledge and clerical experience

Physical demands:

Must pass physical examination: drug-free; able to hear; able to see; able to speak; able to ambulate. Ability to lift, pull, push, reach, twist, stand, raise, as per physical demands' checklist.
