Our Trauma Program located in Wilmington, Delaware, DE is looking for a full time Administrative Assistant II to perform organized clerical duties and administrative duties for the Trauma Program and associated staff members. Additional duties include assisting with coordination of trauma-related educational activities and performing billing related to trauma activation fees

The ideal candidate will be well organized, detail oriented and have the ability to multitask. Candidate to complete tasks and duties within a prescribed timeline. Strong computer skills as well as good verbal and written communication skills.

The responsibilities of the Administrative Assistant II will include;

  • Performs departmental secretarial duties for the Trauma Program Manager as assigned.
  • Performs departmental secretarial duties for Trauma Program Staff as assigned.
  • Maintains calendar and appointments for staff as assigned.
  • Manages daily schedules of department meetings, committee meetings, etc.
  • Ensures that all phone calls for the Trauma Program are answered in a timely manner.
  • Generates memoranda and correspondence for personnel of Trauma Program as assigned.
  • Receives, sorts, and distributes mail for the Trauma Program staff.
  • Schedules travel arrangements for Trauma Program staff as assigned.
  • Manages the daily census headers and distribution of the trauma census list to those approved to receive it.
  • Manages billing practices related to Trauma Activation Fees and SBIRT charges.
  • Maintains files and mails vendor checks as required.
  • Assists with coordination of trauma resident orientation to the trauma service.
  • Takes and transcribes minutes for Trauma Program staff meetings and assigned committee meetings.
  • Responds to telephone inquiries and receives visitors.
  • Initiates purchase requisitions, check requests, work orders, and related forms.
  • Assists the Trauma Program Manager in coordinating all educational trauma courses.
  • Coordinates or assists with special events presented by the Trauma Program
  • Performs assigned work safely, adhering to established departmental safety rules and practices. Reports to supervisor, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.
  • Demonstrates a sound knowledge base of appropriate departmental and hospital guidelines/policies.
  • Coordinates communication between all levels of the health care team effectively, applying both written and verbal communication skills.
  • Operates department computer system and other equipment in an accurate and safe manner.
  • Maintains a positive demeanor of helpfulness, courtesy, and cooperation toward employees, physicians, other hospital personnel, other health care providers, and the general public.
  • Protects the confidential basis of employee or patient information at all times.
  • Attends staff meetings and mandatory in-services.

Office Hours: Day Shift

Qualifications:

High school education or equivalent.

4 years proven experience providing administrative support to an administrator or manager.

Billing and coding experience.

Knowledge of and experience applying medical terminology preferred

Organizational skills and project coordination experience preferred
