ChristianaCare is currently seeking a part-time Administrative Assistant II to work 25 hours a week for 39 weeks/year. This is a school based position located within the health centers of Warner Elementary and Shortlidge Elementary Schools in Wilmington, DE. The Administrative Assistant II provides administrative support for the daily operations of the School Based Health Center, as well as to serve as first point of contact for the site. They interface with students, school nurse, school faculty and administration.

WORK SCHEDULE:

Monday-Thursday, 8:30AM-2:30PM with an additional one hour scheduled each week.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Provides administrative support for clinical and operational work in the center.
  • Answers telephone, routes appropriately and takes complete and accurate telephone messages.
  • Demonstrates effective verbal and written communication skills as well as the ability to utilize a personal computer with proficiency in windows applications including Outlook, Word, Excel and other computer systems as needed.
  • Schedules student appointments; writes passes/email reminders and follow up with missed appointments.
  • Initiates correspondence and notices, orders catering, schedules meetings, develops agendas and takes minutes as directed in a timely manner.
  • Maintains SBHC attendance records.
  • Maintains provider schedules and assists in their daily routine as well as special activities and projects.
  • Supports SBHC coordinator, medical provider, mental health professional and registered dietitian including calendar management and support of creation of education curriculum.
  • Prepares charts and maintains all records in a confidential manner.
  • Responsible for Third Party Billing by ensuring patient information is current and correct by verifying coverage in DMES, Navinet or DHIN.
  • Enter accurate patient demographics and codes from encounters into the CCHS Financial System, Soarian.  
  • Assists CCHS billing department with follow up requests in a timely manner. Review no charge report for missed charges.
  • Prepares and provides SBHC Registration packets to school staff, parents and students.
  • Enters new Registrations into Redcap Database, updates information and pulls registration numbers/data for coordinator when necessary.
  • Registers students in SBHC Risk Assessment Database, provides student with access to survey and assists providers with data entry when necessary.
  • Functions as a liaison between providers, staff and patients to provide accurate communication
  • Enter lab requests into state database and follows up by retrieving reports and notifying providers with results.
  • Assist providers with scheduling group visits by preparing materials, sending student reminders and coordination with presenters.
  • Orders supplies and keeps coordinator informed of expenses.
  • Maintains effective working relationships and open communications with staff, co-workers, school personnel and community agencies. 
  • Develops flyers, posters, announcements, etc. to assist coordinator to promote site programs.
  • Takes, transcribes and distributes minutes of all center staff and school staff meetings and Advisory Council meetings.
  • Attends staff meetings and mandatory inservices
  • Maintains confidentiality of patient/member and staff information; compliant with HIPAA regulations
  • Provides chaperone coverage for medical provider as outlined in CCHS Chaperone Policy- Outpatient.

EDUCATION AND EXPERIENCE REQUIREMENTS:

High school diploma or equivalent required.

Three years progressively responsible secretarial or administrative experience.

An equivalent combination of education and experience will be considered.
