ChrisianaCare is seeking an Administrative Operations Manager to provide oversight for the Cecil County Medical Staff Office, assume responsibility as the database administrator for the Cactus credentialing system, run database reports, and supervise all aspects of the Medical Staff Office.
The Administrative Operations Manager supports the credentialing team, Medical Staff Office, attends Medical Staff meetings, and will also provide backup coverage for the MDSS Manager at Newark and Director as needed.

Principal Duties and Responsibilities:
The duties of the Administrative Operations Manager are divided into two sections.
1. Oversight of the Cecil County MSO:
In collaboration with the Medical Staff Leadership, develops and maintains a robust, compliant credentialing structure which includes the ongoing review of the Credentials Manual, the development of provider resources to assist in making the process transparent, and the appropriate screening of candidates. Identifies opportunities and assists the MSO Leadership with policy development, processes that allow for the transition of information and data, and assures that MSO Leadership is kept apprised of potential issues. Effectively utilizes department resources to assure timeliness of all credentialing requests. Ensures the ongoing monitoring of certifications and oversees the routine monitoring of sanctions.
Coordinates and assures the accuracy of all credentialing/privileging functions to include: the support of the department's credential committee, agenda preparation, minute taking, distribution and management of initial appointments and re-appointments. In collaboration with the Division Leads/Section Chairs provides ongoing assessment and modification of privileging forms to ensure consistency and standardization of privileging processes. Prepares and presents credentialing activities and files for oversight audits, as required. Is responsible for the development and implementation of a structure that assures database integrity (credentialing database) to include but not limited to monthly licensure (state, other state, CSR and DEA) reconciliation, new applicant reconciliation (licenses, NPDB enrollment) renewal reconciliation (appropriate dates, license verification). Responds to external data requests as needed.
Plans, organizes, and supports a comprehensive, specialized credentialing program, which includes initial and renewal credentialing. The Administrative Operations manager assists in the resolution of administrative and operational problems. Identifies and reports credentialing issues to appropriate leadership.
Identifies and analyzes the design of jobs, work processes, and work flows for the department and implements appropriate changes to improve effectiveness, productivity, and efficiency that supports the overall goals of the department, including conducting audits of the team's work to include the review of files, turnaround time, data entry, and other relevant performance metrics.
2. Database Systems Coordination:
Develops and manages the infrastructure to assure timely response to all data requests. Educates and supervises staff designated to support data requests. The database systems functions include: serving as a resource for IT and Access data for provider clinical access, requesting and approving provider access while working with IT to resolve access issue for active providers.
This position is responsible for the coordination of assigned physician development activities, oversight of credentialing functions for assigned departments, and support of activities involved in the Medical Staff Office. Additional responsibilities include designing, implementing, and administering technology strategies intended to increase electronic communication with the Medical Staff and to enhance the department's workflow.
