Christiana Care is looking for a School Based Adminstrative Assistant II for a high school in Wilmington, DE.

This a 40 hour week position that runs off the school calendar which means longer holiday time-off, summer break's and additional days off during the year.

As an Adminstrative Assistant II you would assure the everyday flow of office operations and programming for the SBHC as well as to serve as first point of contact for the site. To support the Coordinator or Senior Coordinator.


  • Assists all providers in their daily routine as well as special activities and projects.
  • Maintains effective working relationships and open communications with staff, co-workers, school personnel and community agencies. 
  • Maintains an attitude of courtesy, helpfulness and cooperation.
  • Schedules student appointments; writes passes/reminders and follows up with missed appointments.
  • Maintains all office and student files.
  • Answers telephone, routes appropriately and takes complete and accurate telephone messages.
  • Shares information with students, parents and other referral sources.
  • Maintains SBHCattendance records and keeps track of students who miss appointments.
  • Takes initiative to prioritize duties according to deadlines for projects or schedules.
  • Prepares charts and maintains all records in a confidential manner.
  • Maintains provider schedules.
  • Provides support for Senior Coordinator or Coordinator who manage multiple sites.
  • Provides coverage as needed at the sites managed by the Senior Coordinator or Coordinator.
  • Attends meetings as required by the Division of Public Health (DPH), CCHS and SBHC.
  • Enters time into Kronos for payroll processing.
  • Uses computer to produce memos, correspondence, reports, projects, manuals and schedules.
  • Inputs data in computer on state based program daily.
  • Produces reports and sends data as required by DPH and CCHS.
  • Notifies staff of meetings called by Coordinator.
  • Develops flyers, posters, announcements, etc. to assist Coordinator to promote site programs.
  • Takes, transcribes and distributes minutes of all center staff and school staff meetings and Advisory Council meetings.
  • Orders or notifies Coordinator of need for office supplies in order to maintain adequate supply.
  • Be responsible for obtaining and entering necessary information for third party billing.
  • Performs assigned work safely, adhering to established departmental safety rules and practices; reports to Coordinator, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury.
  • Provides chaperone coverage for medical provider as outlined in CCHS Chaperone Policy- Outpatient.
  • Performs other related duties as required.


  • High school graduate with business/secretarial training, Associate degree preferred. 
  • Minimum of three years experience in office setting.
  • An equivalent combination of education and experience will be considered.


  • Strong computer skills including Word, Power Point, Access, Excel and Outlook
  • Knowledge of medical terminology.
  • Knowledge of adolescent behavior and ability to work with this population.
  • Skill in oral and written communication.
  • Strong typing and accurate spelling skill required.
  • Skill in effective public relations.
  • Ability to function as a role model and mentor to students.
  • Ability to meet short deadlines.
  • Ability to present a friendly and cooperative manner.
  • Ability to treat all public contacts in a kind, courteous, and understanding manner.
  • Ability to work as a team player.
