Perform clerical duties in Employee Health Service (EHS); maintain personal and/or telephone contact with employees and other departments.


Performs clerical duties in EHS including: answering telephone, taking messages, filing, typing, and data entry.

Greets patients and visitors, ascertains the nature of business, and directs them appropriately.

Maintains EHS records and charts, filing laboratory results, and documenting immunizations.

Maintains confidential basis of employee information at all times.

Monitors office supplies and orders under the guidance of EHS staff assistant.

Receives, sorts, and distributes EHS mail.

Performs all front desk functions including preparing pre-employment charts and new candidate charts

Proficient with outlook calendar, Microsoft word, excel and power point

Basic knowledge of worker's compensation filing system

Ability to pull charts for internal and external audits

Attends inservice education and training as required and completes mandatory education requirements.

Coordinates and completes special projects as assigned.

Ability to enter request for facility maintenance

Performs assigned work safely, adhering to established departmental safety rules and practices.  Reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients, visitors, or property.

Performs other related duties as required.


Frequent contact with administrative personnel, physicians, nursing personnel, employees, and other hospital department personnel relating to providing a comprehensive program of employee health service, as well as external regulatory agencies and legal counsel.

High School diploma or equivalent.

Two years' experience working in a health care setting or clerical role with face to face patient contact.

Strong communication and customer service skills and experience in use of computer.

An equivalent combination of education and experience may be substituted.


Knowledge of scope of practice for Employee Health Services.

Knowledge of departmental and unit specific standards, guidelines, protocols, procedures and policies.

Ability to work independently within established procedures and protocols.

Ability to plan, organize, and coordinate multidisciplinary team efforts to complete special projects as assigned.

Ability to exercise judgment, tact, and diplomacy.

Ability to function in emergency situations.

Ability to manage difficult people/difficult situations.

Ability to use computer for data entry of patient information, retrieval of information, communication and scheduling.

Ability to respond to emergency situations according to policy, guidelines, procedures, or protocol.

Ability to maintain patient confidentiality.

Skill in oral and written communication.


Ability to stand, walk, sit, bend, lift, push, pull, carry, reach, twist, handle, stoop, bend, climb as per unit based Physical Demands Checklist.


Office environment.  Subject to exposure to communicable diseases.  Frequent sitting for extended periods with intermittent standing and walking.
