To function as a vital healthcare team member and provide office and clerical support to the Infection Prevention office.


General responsibilities include:

  • Works collaboratively with the Infection Preventionists and other administrative and/or clerical personnel in the department to meet the department's needs.
  • Maintains an accurate and efficient electronic/ paper filing system to ensure easy access for others in department
  • Responds to requests in a responsive and courteous manner and assures that customer's requests and expectations.
  • Provides State, Federal and other regulatory agencies with information that is required and/or requested in a prompt and efficient manner.
  • Demonstrates compliance with system-wide and departmental policies and procedures and mandatory education requirements including but not limited to safety, infection prevention, attendance and dress code.
  • Attends departmental meetings and inservices as required.
  • Assumes responsibility for ongoing professional growth.
  • Maintains and advances knowledge of computer software (Outlook, Powerpoint, Word, EXCEL, etc.) and utilizes appropriately in daily functions.  Knowledge of Cerner Powerchart is preferred.
  • Performs assigned work safely, adhering to established departmental safety rules and practices; reports to  manager, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.
  • Performs assignments that need to be completed, even when outside the scope of routine responsibilities and adaptable to changing departmental conditions: teamworker.

Performs clerical duties to enable the Infection Prevention department to facilitate an organized work environment that include:

      -     Handles some scheduling of meetings and is able to set up any additional support for meetings as directed by manager.

      -     Provide support to do mailings & make photocopies

-     Requests patient records from Health Information Management Department if necessary.

-     Acts as department courier as needed

      -     Answers phone calls assisting caller with correct information

  • Provides office support through daily distribution of inter-office mail, routing phone messages and paging as requested
  • Organizes information and references in appropriate manuals

Data entry responsibilities include:

  • Data entry as needed to support Infection Prevention program (National Healthcare Safety Network Surveillance of CDC data base, and any current focus studies as requested
  • Maintains, utilizes and advances knowledge of software required to support various data entry systems


Daily contact with Infection Preventionists and other departmental staff to maintain efficient office flow.

Regular contact with the Manager and Director of the Infection Prevention department.

Frequent phone or electronic contact with regulatory agencies in the State.

Frequent contact with caregivers on the in-patient and ancillary areas of all facilities.




Reports directly to the Manager of Infection Prevention

Receives assignments from Manager of Infection Prevention.


High school diploma or equivalent.

Secretarial training or related work experience required.

Knowledge of computers and good skills in: Outlook, Word and Excel required; Access and Power Point preferred.

Knowledge of medical terminology preferred.


Knowledge of and competence in use of computer software and willingness to adapt and learn new programs when necessary.

Skilled in interpersonal relations to handle a variety of people/situations.

Ability to exercise judgment, tact, and diplomacy.

Ability to act independently within established procedures and policies.

Ability to maintain patient confidentiality in compliance with HIPPA regulations.

Ability to perform basic mathematical functions and percentages.

Ability to read and spells accurately and uses medical terminology.

Ability to locate and use reference books and manuals in the department.

Ability to operate hospital computer system, printers, fax and copy machines safely and correctly.

Ability to organize and prioritize multiple requests.




Walking to and from offices/all campus sites and patient care areas

Lifting or carrying files or packages for distribution.

Intermittent and sustained periods of sitting and using computer terminal.


Low to moderate risk of exposure to infectious conditions from patients and/or visitors to the patient care areas.

Office environment.

Travel between all System Campuses possible
