Christiana Care is looking to hire a Director of Practice Operations for Women's Health in Greenville, DE.

As a director you would work in partnership with the physician and nursing leaders to provide strategic planning, operational oversight, and financial management for all of the women's health practices at ChristianaCare

PRIMARY FUNCTION: 

Responsible for developing and attaining performance and outcome goals and clinical service growth in collaboration with the Women's and Children's Service Line, Clinical Leaders, and Medical Group leaders. Specifically partners with the clinical leader for each practice regarding strategic planning, program development, continuous quality improvement and financial/budget reporting and monitoring.  Will serve as a liaison for campus leadership and lead efforts across the organization focusing on and advancing continuous improvement (LEAN methodology), continuous learning, and supporting organizational vision and goals. Will manage people leaders across 10+ employed Women's Health practices and partner with the Clinical Leaders and Corporate Director to further develop and expand the women's health services in Delaware, Maryland, Pennsylvania and New Jersey.

  

PRINCIPAL DUTIES AND RESPONSIBILITIES: 

  • Provide the strategic direction across service line operations, including patient care delivery, process, root cause analysis, and quality improvement in collaboration with service line and medical group leaders.
  • Drive improvements, optimizations, and standardizations across practices while staying abreast of innovative practices, and evolving technology within ambulatory care settings.
  • Interpret key performance indicators (KPI's) for each practice, determine cause(s) for variances, and recommend enhancements.
  • Develops business plans to capitalize on new services and facilitates successful future growth.
  • Ensures regulatory, compliance and safety requirements are met at all times.
  • Partners with clinicians to forecast volumes, space, and equipment needs for our growing patient population.
  • Champions relationship building, cross collaboration and mentorship throughout the Women's and Children's Service Line, The Medical Group and other strategic partners within the system.
  • Develops, coordinates and monitors capital and operating budgets, including variance reports.  Summarizes financial status, financial risk, and revenue opportunities on a monthly basis.  Analyzes monthly reimbursement reports for trends and/or problems.  Develops corrective recommendations for problem areas.
  • Provides operational leadership to the team with a focus on achieving expected clinical and operational outcomes consistent with pre-determined performance standards for quality, service, efficiency, effectiveness, safety and quality for all clinical programs.
  • Develops, implements and monitors projects and project budgets designed to improve group efficiency, communication, provider satisfaction, patient satisfaction and/or financial success including staffing and operational needs.
  • Advances workflow process optimization leading and championing continuous improvement projects to improve patient satisfaction of the office experience including patient access via scheduling template management, front desk experience, rooming process, check out process, etc. 
  • Develops new program feasibility elements, including researching, compiling, and analyzing supporting data.
  • Responsible for coordinating the orientation/onboarding for all new clinician hires; includes: systemwide orientation, practice specific orientation, IT orientation, shadowing schedules and first clinical shifts for all providers.
  • Responsible for overseeing and tracking all physician and vendor contracts (creating new contracts, amending/renewing current contracts, etc.)
  • Responsible for all Workday changes (for staff, physicians, and advanced practice providers) including compensation changes, job changes, FTE changes, etc.
  • Responsible for approving all CME/relocation expenses for physicians and advanced practice providers in Workday.
  • Responsible for working with clinical team, CCHS Finance and CCHS Data & Acquisition, to develop metrics and dashboards that demonstrate the value of the practices. Uses Hyperion, Soarian, UHC, and Tableau Interactive Reports.
  • Ensures service excellence behavior and service recovery processes are consistent within all assigned practices. 
  • Leads efforts to create conditions for staff engagement. 
  • Partners with the Clinical Leader to create, maintain, and improve clinical care and workflows 
  • Collaborates with other Medical Group Practice Managers, Directors, and Clinical Leaders to share and spread best practices.
  • Directs practice staff management via the site manager; responsible for employment processes and decisions regarding office staff (including orientation/onboarding); performance management; performance appraisals; office staff meetings/committees.
  • Leads LROC request process for assigned practices. 
  • Directly manages Practice Supervisor or Clinical Coordinator or Site Supervisor or other Manager/Supervisors as assigned. 
  • Performs assigned work safely, adhering to established departmental safety rules and practices. Reports to the appropriate personnel, in a timely fashion, any unsafe activities, hazards, or safety violations that may cause injury to oneself, other employee, patients, and visitors. 
  • Performs other related duties as required. 

DIRECTION/SUPERVISION OF OTHERS: 

  • As defined by practice make-up, could include Manager Practice Operations, Practice Supervisor, Site Supervisor, Clinical Coordinator, and/or Scheduling Coordinator roles.  

EDUCATION AND EXPERIENCE REQUIREMENTS: 

  • Bachelor's degree required
  • Master's degree in a related field preferred.
  • Minimum of five (5) years of healthcare experience on a management level required, with a focus on quality, safety, regulatory, and accreditation preferred.
  • Minimum 10 years of direct practice management experience in lieu of degree may be considered.

  • Ability to organize work, coordinate projects, set priorities, meet deadlines and follow up on initiatives with little or no supervision 
  • Ability to independently manage physician group communication and work processes and respond appropriately to unforeseen circumstances  
  • Ability to manage ambiguity by adapting to changing work demands necessitated by fluctuations in workload or program requirements 
  • Ability to establish relationships and collaborate with clinicians and other leadership staff 
  • Ability to use common computer software (Word, Excel, Powerpoint, Outlook) for daily work and data input and retrieval 
  • Ability to organize work, coordinate projects, set priorities, meet deadlines and follow up on assignments with little or no supervision
