Christiana Care is looking for a full-time Executive Assistant to provide administrative support to the Executive Director and coordinate the overall endeavors of the Gene Editing Institute in a highly professional and efficient manner ensuring confidentiality of all matters. The Executive Assistant has a strong attention to detail, thrives in a fast-paced environment, identifies as a continuous learner, with inherent instincts to solving problems, and has a drive for excellence.

  • Advanced knowledge of online tools and software such as Google Drive, Outlook, and Zoom.

Principal duties and responsibilities:

  • Provides administrative support by attending meetings, completes high level summaries, composes agenda, drafts and types correspondence, schedules meetings, maintains up to date filing systems, screens calls and messages.
  • Schedules executives' calendar using e-mail calendar system (Microsoft Outlook) and provides all pertinent information needed for scheduled appointments.
  • Coordinates Board of Managers quarterly meeting including management of Board Effect platform, meeting logistics, preparation of agenda and meeting minutes.
  • Provides daily administrative support to the Executive Director and other senior leaders
  • Anticipates Executive Director's needs, and aids to ensure they are prepared for daily activities.
  • Screens correspondence/mail, sorts and prioritizes, bringing items for immediate action to Executive's attention.
  • Builds PowerPoint presentations for both internal and external audiences. Demonstrates keen understanding of diversity in audience and adjusts style/tone accordingly.
  • Greets visitors, ascertains nature of business.
  • Schedules meetings, including advising attendees, reserving rooms, arranging meals and refreshments, equipment, and other support materials.
  • Manages and builds expenses reports
  • Arranges travel reservations, orders ticket, makes and confirms lodging and airline reservations

Hours: Day Shift

Education and experience requirements:

  • Two-year business degree and 3 + equivalent years or 4- 5 + years of experience providing administrative support to executives
  • Experience in a healthcare and/or university setting with a research/development team is a plus
