The Medical Group at ChristianaCare is looking for an Executive Assistant to join it team, to provide administrative support to a member(s) of the executive team and Business Operations, Optimization and Finance Team to maximize effectiveness and efficiency.  Serve as the primary point of contact for internal and external interactions. 


  • Provides administrative support to executive leader(s) and team members; including attending and taking minutes at meetings, composing agenda, drafting and typing correspondence, scheduling meetings and meeting rooms, maintaining up to date filing systems, screening incoming calls and taking accurate telephone messages, preparing PowerPoint presentations and Excel spreadsheets.
  • Provides a link for smooth communication between the executive's office and internal departments, demonstrating leadership to maintain credibility, trust and support with executive management staff.
  • Schedules and manages executive and team members' calendar and maintains daily tickler system. Anticipates executive(s) and team members' needs and provides assistance to ensure they are prepared for daily activities.
  • Screens correspondence/mail, sorts and prioritizes, bringing items for immediate action to executive leader's attention.
  • Supports general Medical Group Operations including maintaining contact lists, email distribution lists, and collaboration sites.
  • Provides assistance to the Medical Group leadership staff to achieve pre-determined goals and objectives for the Medical Group.
  • Coordinates and schedules meetings and events including notifying attendees, reserving rooms, arranging meals and refreshments, equipment and other support materials.
  • Prepares requisitions and maintains supply inventory and materials, checks receipts for incoming materials, and processes invoices for payment.
  • Prepares all travel reservations and compiles reimbursement documentation, completes corporate credit card reconciliations.
  • Completes payroll as necessary.
  • Maintains time and attendance information for the department including timekeeping for payroll.
  • Researches and completes special projects/assignments as required.  Researches, prioritizes and follows up on incoming issues; determines appropriate course of action, referral or response.
  • Maintains confidentiality at all times.
  • Maintains a positive attitude of helpfulness, courtesy, and cooperation toward employees, physicians, other hospital personnel, other health care providers, and the general public
  • Works as a team member with other staff in order to provide effective coverage for team.
  • Performs assigned work safely, adheres to safety rules and practices, and reports any unsafe activities, conditions, hazards or safety violations that may cause injury to oneself, other employees, patients and visitors.

  • High School Diploma or equivalent required.
  • Completion of a program in secretarial science or related field preferred.
  • Four years administrative experience; preferably supporting an executive leader.
  • Independent thinker and leader who can function effectively in a rapidly growing and changing environment required.
