Are you and experienced administrative professional looking for an exciting and challenging opportunity to support a Medical Residency Program?

ChristianaCare is currently seeking a Medical Education Program Assistant to work in the Academic Affairs department at our Newark campus.  In this position you will provide administrative support to our Medicine Residency Program as well as the Program Director and Program Manager/Program Administrator. 

Outside of typical administrative duties such as leadership support, calendar management, travel arrangements, credentialing paperwork, and track and report time, this position will also include such duties as:

  • Assisting residents in becoming acclimated to the educational settings, CCHS policies and procedures, assist with resident rotation scheduling and collaborate with program leadership in the preparation and implementation for their rotations.
  • Assist with the organizing and scheduling of program-specific orientation for residents and/or fellows.
  • Organize, distribute and monitor resident evaluations. Maintain accurate and complete confidential files and records.
  • In conjunction with Program Manager, assisting with recruitment processes for the Residency Program.  
  • Compiling, distributing, and collecting surveys and submit accurate reports related to GME. 
  • Assisting with accreditation site visits, including the preparation of self-study and site visit documentation.  
  • Assisting the Program Director and Program Manager/Program Administrator in oversight of planning and implementing faculty development activities and resident's improvement projects. 
  • Working directly with Program Manager and Department to keep program within budget.
  • Schedule and organize meetings, record and transcribe minutes, distribute agendas for GME. 
  • Act as liaison between departments, attending physicians, faculty members, and administrators within CCHS and outside institutions.
  • Develops processes to improve office efficiency by standardizing formats for routine correspondence and identifies areas for improved efficiency. 
  • Work collaboratively with Educational and Clinical Offices.

Qualified candidates will hold a minimum of an Associate's Degree in Office Administration/Secretarial Science/relevant degree, or minimum of three (3) years-experience; demonstrating knowledge and skills relevant to the position. At least three (3) years progressive administrative assistant experience or equivalent, demonstrating successful office management experience.  Experience working in Graduate Medical Education preferred.
