Christiana Care Primary Care at Stone Mill is looking for a Senior Office Assistant.
 

Primary Care at Stone Mill is located at 722 Yorklyn Road in Hockessin, Delaware. Primary Care at Stone Mills offers a range of medical services for children and adults through all stages of life.

We are a team of two Physicians, four Medical Assistants and one Office Assistant.
 

The Senior Office Assistant is the first point of contact between the practice and the patient and is responsible for creating a friendly, welcoming calm and efficient environment for the practice. The Senior Office Assistant serves patients with poise and compassion virtually or on-site, fields phone calls, answers patient questions, schedules new and follow-up appointments, registers patients and updates record and represents the entire practice every time there is interaction with a patient. In addition, the Senior Office Assistant assists with the training of Office Assistant staff and provides guidance to Office Assistants with workflow questions.
 

Work Schedule:

  • Monday & Thursdays from 8am to 5pm
  • Tuesdays from 7am to 5pm
  • Wednesdays from 7am to 6pm
  • Friday from 8am to 4:30pm
  • All Office Assistants are also required to work one Saturday every three months from 8am to 12pm. During your turn to provide Saturday coverage (once every 3 months) the office location will rotate between the Hockessin & Lantana Square offices.

Job duties & responsibilities:

  • Assists with the training of Office Assistant Staff
  • Subject Matter Expert on Office Assistant operations/procedures/processes
  • Point of contact for Office Assistant regarding questions, concerns and guidance with Office Assistant operations, procedures, and processes
  • Responsible for inventory management
  • Schedules appointments with awareness of insurance, provider, and location for virtual and on-site appointments
  • Greet and interact with patients in a professional manner, virtually or on-site to collect required demographic and financial information.  Processes/verifies referral information and eligibility for insurance reimbursement as needed. 
  • Collects payments according to insurance requirements.
  • Verifies insurance coverage & coordinates referrals.
  • Performs day end reconciliation of appointments & payments received.
  • Answers all phone calls in a professional manner and relay accurate messages.
  • Alerts providers of messages and responds to messages from provider(s)
  • Communicates with provider and staff through EMR.
  • Keeps patients up to date on issues until resolution can be accomplished.
  • Facilitate testing, labs, appointments, etc for patients.
  • Prepares medical records to include scanning and indexing tests, reports, etc into patient charts as needed.
  • Responsible for researching issues and responding to the patient in a timely and professional manner.
  • Assists with copying, faxing, and general administrative support.
  • Performs assigned work safely, adhering to established departmental safety rules and practices; reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.
  • Performs other related duties as required.


Education Requirements:

  • High School Graduate or GED required.
  • Two years of experience in a medical office practice setting is required, three years of experienced is preferred.
