Christiana Care is hiring a full time Staff Assistant VIII for the Medical Group out of Wilmington, DE.

As a Staff Assistant VIII, you will be providing strong support for leaders in the Medical Group. You will be responsible for an array of tasks including calendar management, coordination of meetings, and having a part in project management. You will work with other departments that include IT department, Finance, Purchasing, Care Management, and CCHS Administration etc.


To provide administrative support to multiple leaders within The Medical Group to maximize their effectiveness and efficiency.


  • Schedule and manage calendars; coordinate conferences and meetings. Ensures that meeting rooms, supplies and equipment are arranged for in advance. Orders catering as needed. Provides all pertinent information needed for scheduled appointments.  
  • Provides administrative support including typing and drafting correspondence, attends meetings, composes agendas, takes and types minutes, maintains up to date filing systems, composes presentations, opening, screening and delivery of mail, assists with audiovisual setup accordingly, etc.
  • Maintains clinician CME's for leaders as needed
  • Invoice and reimbursement management
  • Creates and maintains Collaboration Sites
  • Completes payroll as necessary
  • Coordinate/assist with candidate itineraries and the onboarding process
  • Answers telephones adhering to Telephone Etiquette Standards of Performance guidelines. Provides assistance and/or direction for callers as necessary.     
  • Assists in coordination of facility requests (e.g. moving of IT equipment, furniture moving, painting, carpeting, electrical and HVAC problems)
  • Maintains department compliance for all mandatory education requirements 
  • Completes special projects as requested     
  • Communicates between all levels within the Medical Group and other departments, utilizing both written and verbal communication skills. 
  • Provides coverage to other Assistants as necessary
  • Attends staff meetings and completes mandatory in-services timely
  • Performs assigned work safely, adhering to established departmental safety rules and practices.  Reports to supervisor in a timely manner, any unsafe activities, conditions, hazards or safety violations that may cause injury to oneself, other employees, patients and visitors.
  • Performs other related duties as required


  • High school diploma or equivalent; completion of a business college program in Secretarial Science or Office Administration or related field preferred.
  • Four years progressively responsible administrative support to an administrator or manager.
  • An equivalent combination of education and experience may be substituted, but must include at least two years of appropriate experience.


  • Knowledge of appropriate departmental and hospital standards, policies, and procedures.
  • Knowledge of clerical functions specific to the department.
  • Knowledge of Microsoft Office applications.
  • Ability to prioritize workload independently, working within established procedures or protocols.
  • Ability to make decisions exercising independent judgement in all job related activities.
  • Ability to work constructively with all members of the health care team.
  • Ability to prioritize crisis calls, notifying appropriate manager immediately.
  • Ability to locate, use, and maintain appropriate reference manuals.
  • Ability to function with an awareness and application of safety policies.
  • Ability to communicate effectively utilizing verbal and written skills.
  • Ability to type accurately at 60 wpm.
  • Ability to organize and maintain different projects simultaneously.
  • Ability to use tact, judgment, and diplomacy.
  • Ability to work effectively with others in a team environment. 
  • Ability to interact with all levels of management and staff. 
  • Ability to complete all administrative duties accurately and efficiently.
