PRIMARY FUNCTION:

Schedules procedures, in collaboration with physician's offices, for various departments (Operating Rooms, Surgicenters, GI Labs and CHR Procedure Rooms) on Christiana and Wilmington Campuses, assuring the availability and proper utilization of resources including time, equipment and personnel.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Negotiates with Physician's office staff for dates and times to accommodate their requests for scheduling procedures. Analyzes automated scheduling grid to determine availability of requested date and time, differentiating between block and non-block designations for each scheduling area, service or physician.

Selects correct Preference List from Surgeon's File Listing that will request and reserve accurate instrumentation, supplies and equipment for each scheduled case.

Maintains on a daily basis the correct quota of cases needing ICU beds scheduled in COR.

Utilizing a proficient knowledge of basic OR equipment/instrumentation, identifies conflict associated with case requirements.

Runs Implant verification report to insure implants ordered and received for scheduled cases.

Collaborates with PCC to resolve time conflicts, contacting Surgeon's offices requesting time changes or adjustments in case schedules that will provide a positive outcome for both the patient and surgeon.

Works with Physician's office staff, PCC and anesthesia in addressing and scheduling special requests for specific dates and times or requests to start earlier or later than originally scheduled.

Utilizes knowledge of Surgical Diagnoses and collaborates with PCC and Anesthesia to process scheduling of urgent case requests.

Utilizes competently SurgiNet software in capturing patient information and completing designated fields for accurate transmission and use by Admitting, Bed Control and PEP Departments for positive outcomes in patient care.

Utilizes the Surginet Scheduling Systems, Inquiry Functions, in a competent manner to guarantee accurate and timely scheduling.

Collaborates with the PEP Staff in updating patient data in SurgiNet system.

Performs assigned work safely, adhering to established departmental safety rules and practices;  reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.

Performs other related duties as required.

Daily contact with physician office staff, employees and other hospital staff.

DIRECTION/SUPERVISION RECEIVED:

Senior Surgical Scheduler/Supervisor, Surgical Services Scheduling. Receives direction from NM/PCC.

EDUCATION AND EXPERIENCE REQUIREMENTS:

High School graduate or equivalent.

Three years clerical experience.

An equivalent combination of education and experience may be substituted.

KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS:

Knowledge and understanding of medical terminology

Knowledge of organizational skills.

Skill in oral and written communications.

Knowledge of CCHS and departmental policies/procedures.

Knowledge of scheduling functions for specific departments.

Knowledge of performance improvement purpose and procedure.

Ability to act independently within established procedures and policies.

Ability to exercise diplomacy, judgment and tact.

Ability to maintain patient confidentiality.

Ability to type accurately at 40/50 wpm.

Ability to perform mathematical functions and calculate percentages.

Ability to read, accurately spell and use medical terminology.

Ability to locate and use reference books and manuals on the unit.

Ability to operate hospital computer systems, printers, Fax and other office machines in a safe and accurate manner.

Ability to effectively communicate, utilizing verbal and written skills.

Ability to plan, organize and handle various tasks simultaneously.

PHYSICAL DEMANDS:

Ability to stand, walk, bend, lift, push, carry, reach, twist, handle, stoop, climb as per unit Physical Demands Checklist.

WORKING CONDITIONS:

Frequent exposure to biological elements with occasional exposure to chemical and environmental elements as per unit based physical Demands Checklist.
